The Data Extractor logs into the DOE source systems - ATS and STARS, extracts certain reports and files and uploads them to Classroom. You can check the status of these files by navigating to Classroom > Administration > Data Status.
In this article, you'll learn how to confirm that your school's data is updated after you have run the Data Extractor. Using the Data Status feature, you can view recent sync logs, download copies of the reports, and view the dates of said reports.
Data Status screen is divided into two sections.
The top section is labelled “RECENT DATA EXTRACTOR SYNC LOGS” and the bottom section is named “FILES”. In the top section, if you click on the Date Dropdown list, you will typically see two or more entries for each day corresponding to each individual extraction run. The first line gives you a summary of all activity that took place during the run. The second line gives you specific details about each activity along with any error messages encountered.
If you scroll down to the bottom section called “FILES”, you will see a list of folders labelled “181”, “182”, “187”, “191”,etc. These correspond to the school year/term. For example, “181” indicates school year “2018-2019 Term 1”. If you click on the folder, you will see a list of all the files that were extracted from ATS/STARS along with their dates of extraction. Files are all named as “upload_xxx.csv” where “xxx” is the name of the file from ATS/STARS. ATS filenames consist of four letters (such as RESI, RACL, etc.). STARS filenames consist of three digits (such as 101, 114, etc.).
If both the ATS and STARS extractions were successful, you should see the same dates for each set. If one set has an earlier date, this is a clue to you that the files for that set were not uploaded for some reason. Below are the files that are typically extracted from ATS/STARS.
ATS > RESI, RACL, RCON, REXH, RATR, RPAD, RNMR, RBIR
STARS > 101, 114, 115, 120, 130, 140, 307, 415, 416A, 631
